Use Case: Yello Event-Based Scheduling
Early talent recruiters have a heavy workload during on campus recruiting events. With so much on their plate, the time they need to build authentic relationships with candidates is limited. From meeting a high volume of students, to individual evaluations and interviews, there’s an obvious need for automation and time-saving measures wherever possible.
Interview scheduling during and after events is one of the major time-sucks for campus recruiting teams. No one likes emailing back and forth to find a time that fits in everyone’s calendar, especially during a live event. Although it can be a pain, it’s crucial for employers to get interview scheduling right for a number of reasons.
1. It’s an opportunity to build your employer brand and provide a better candidate experience
A strong employer brand can provide a big advantage when candidates are considering offers from multiple companies. This is the perfect opportunity for you to engage with students early in the hiring process while building a relationship with them. A timely and personalized scheduling process makes candidates feel valued and creates a strong first impression of your business.
2. Slow scheduling puts you at risk to lose top candidates to your competition
Top candidates are often interviewing with more than one company at a time. It’s important to consider the impact that keeping candidates engaged throughout the interview process can have on their decision to accept a position within your organization. If you wait until after an event is over to start scheduling interviews, candidates may already be further along in your competitor’s hiring process.
3. Recruiter time could be better spent elsewhere
Recruiters should be focused on building relationships and identifying the best candidates. Automating interview scheduling gives them time to focus on what’s most important.
4. It can drastically limit or supercharge your interview volume
Your team can only move as quickly as your tech stack allows, which either helps or hurts the number of candidates you’re able to engage with. Don’t miss out on engaging with more candidates because your technology can’t keep up.
How can Yello help?
Yello is built for early talent. We’re the only platform that offers solutions tailored specifically for university recruiters like you. Yello makes it possible to reach your recruiting goals by automating manual work and eliminating bottlenecks in your recruiting process.
Yello’s one-of-a-kind Event-Based Scheduling tool simplifies the scheduling process to create a consistent and scalable interview experience for both candidates and recruiters.
How It Works
Event-Based Scheduling accelerates your hiring process by facilitating faster interview scheduling through pre-built invitations and self-scheduling. Employers can also host sessions for non-interview activities such as group sessions or luncheons.
After creating an event in Yello, set up your schedule by adding a number of time slots and choosing the start and end time for each slot. Each time slot can be created as either virtual or in-person.
Once the schedule is created, staff members associated with the event can be assigned to each time slot. You can also invite candidates, or allow them to self-schedule from the time slots you created. Once a time slot is confirmed by the candidate, both the candidate and staff members will receive confirmation emails with meeting details.
Zoom and Microsoft Teams Integrations
Event-Based Scheduling integrates directly with Zoom and Microsoft Teams to ensure a smooth virtual interview experience using your team’s existing tech stack. Event-Based Scheduling also integrates with both Google and Office 365 calendars to show staff availability when assigning time slots. When a staff member is added to a time slot in Yello, an event will automatically generate on their linked calendar. This eliminates the need to email back and forth to schedule each interview.
We asked our customers to share how the Event-Based Scheduling tool improves their recruiting process. Take a look at the user stories below to see how your peers use this tool throughout different industries.
The Automotive Industry
A multinational automotive manufacturer uses Event-Based Scheduling to increase their interview volume and cut down time to hire. After attending an event, they invite candidates who engaged with them to self-schedule a speed interview. Candidates are asked to select a time slot that works for them on a single interview day. Without Event-Based Scheduling, speed interviews can be a scheduling nightmare because of the high volume of candidates being fit into such a small window.
Before using Event-Based scheduling, this company painstakingly scheduled interviews with each candidate manually over email. This was very time-consuming for recruiters due to the amount of manual work required to coordinate with such a large number of candidates. Additionally, recruiters had to manually generate multiple video conferencing links for each interview. That’s where the Teams integration comes in.
This company was already using Teams as their video conferencing platform, making it easy for them to get up and running with Event-Based Scheduling. All of their Teams links are generated automatically and sent to each candidate and staff member — this removed three manual steps from their scheduling process.
In addition to the amount of time saved, they also experience significantly less user error and technical difficulties compared to their previous workflow.
The Finance Industry
A Yello customer in the finance industry uses Event-Based Scheduling to simplify their scheduling process for recruiters and improve their candidate experience. This employer used to struggle with interview scheduling and was using a mix of different channels during events as part of the scheduling process including SMS, email, and even spreadsheets.
Their process lacked visibility for team members, making it difficult for their employees to work together on scheduling. In an effort to get out of spreadsheets and paper documentation, they began using Event-Based Scheduling.
After implementation, they began the scheduling process as soon as candidates checked-in during an event. At check-in, candidate data was recorded in Yello and visible to the entire recruiting team. Recruiters then assigned candidates to an interview slot in real-time during the event.
Thanks to Event-Based Scheduling, manual data entry and emailing or texting back-and-forth to schedule is no longer needed. Their recruiters use pre-built templates in Yello, allowing them to simply fill-in data during an event instead of having to create something new each time.
Their candidates now receive immediate confirmation that an interview has been scheduled. Additionally, recruiters have more context and information for each candidate when it’s time for the interview. As a result, this employer scheduled 20% more interviews during events while reducing candidate wait times at their booth.
Their interview attendance and offer acceptance rates increased significantly. They noticed that candidates were no longer double-booking over their interview time because interviews were confirmed on the spot. An increase in interview attendance led to more offers being given, and ultimately more hires.
Lastly, Event-Based Scheduling helped them strengthen their employer brand by providing a consistent and positive hiring process. Their team no longer worries about candidates slipping through the cracks during an event. With a trusted and organized process, their recruiters can focus on engaging with candidates and other important tasks during events.
